W39, the leading provider of support services to Residents and Agents living and working in properties throughout the greater Dublin area are currently recruiting for a Property Manager.
Over Role Description:
Main responsibility is effective Property Management of assets on behalf of a number of group clients, ensuring highest value for money in providing high quality facilities and property management. Assisting Head Property Manager in reporting to Head Asset Manager on performance and issues relating to property management of the group's mixed use portfolio.
Financial/General Duties
- Managing monthly and weekly purchase ledger, involves coding of the invoices, authorization of payments of the service charge invoices before passing to Head Property Manager for overall authorization.
- Responsible for the collection of rent roll across the portfolio, liaising directly with facility departments on payments and dealing with any issues. Supervising administritive staff on the chasing of the payments. Producing relevant and routine payment performance statisics for the Head Property and Asset Managers in form and on schedule as instructed by same.
- Highlighting (at weekly management meetings) any large ticket, extraordinary items on debt collection or supplier payment to Head Asset and Property Managers.
- Dealing with suppliers contracts and managers of service charge supplier contracts.
- Managing aged debtor and creditors meetings in conjunction with accounts. Supervising administritive staff with the chasing of aged debtors and creditors. Producing critical debtor and creditors reports for Head Asset and Property Manager and follow up with monthly meetings.
- Liaising with the clients finance team on quartley performance on the budget to actual expenditure. Working on service charge reconciliation at the end of each year in conjunction with the clients finance team.
- Reviewing and upholding the quality of all inspections across the clients portfolio.
Residential Properties Duties
- Dealing with approval of new lettings and renewals including instruction to letting agents, solicitors etc on properties within the portfolio, in compliance with all current residential legislation.
- Ensuring both tennant and landlord is in compliance with all lease terms and maintenance issues.
- Producing monthly tenancy schedules for Head Asset Manager and updating Val Cap in line with same. Providing summary report on performance of residential properties (rent, vacancy etc).
- Supervising the moving in and moving out process of tenants with Building Management staff.
Commerical Properties Duties
- Assisting Head Property Manager on the production of the quarterly portfolios lease administration report.
- Liaising with Tenant facility departments. Supervisiing day to day operation of all multi let properties in relation to maintenance, contractors etc.
- Managing Tenant fit outs and landlords works, particularly in terms of procedure, health & safety
- Assisting Head Property Manager on lease administration matters.
Skill Set Requirements
5 years minimum experience in a property management role with a proven track record in residential property management.
Degree qualified (preferably in a property related field)
Excellent communication and interpersonal skills.
Excellent knowledge in use of Microsoft Office software packages, including Word, Excel and property software packages such as Qube and Valcap.
Accuracy and attention to detail is essential.
Own car is required wtih full clean drivers license.
